Privacy Policy

1. Who We Are

PayDeck360 ("we", "us", "our") runs paydeck360.com and the PayDeck360 app, a paycheck estimating and schedule tool for shift workers. PayDeck360 is operated in Texas, United States, and is intended for users in the United States who are 18 or older.

2. Information We Collect

Account information:

• Your email address and the way you sign in (email and password, Google, or Apple). Passwords are handled by Firebase Authentication; we never see them.
• The name you give us.

Information you enter:

• Pay rate, hours, shift pattern, schedule and calendar markers
• Tax settings (filing status, state, W-4 entries) and birth year (used for 401(k) limits)
• Deductions, 401(k) settings, off-cycle checks, year-to-date figures, targets and notes

Paystub photos: If you upload a paystub, the image is sent through our server to our AI provider (see Section 4) to read the numbers. PayDeck360 does not store the image. The numbers you choose to keep are saved with your data.

Paystub comparisons you submit for review: If you tap to submit a comparison, we receive the PayDeck360 values, the values read from your paystub, and your main pay settings so we can investigate.

Support messages: Your name, email address and message when you contact us through the app.

Billing: Your subscription status and a customer reference from our payment processor. We never receive your card number.

Technical information: Our hosting and cloud providers keep standard server logs (such as IP address, browser type and access times) for security and reliability. PayDeck360 does not use analytics or advertising trackers.

3. How We Use Your Information

• To calculate and show your paycheck estimates, schedule and year-to-date totals
• To keep your data in sync across your devices
• To read the numbers on paystubs you upload
• To provide support, fix problems and check that calculations are correct
• To manage your subscription and send service emails (for example, password resets)

We do not sell your information, share it for advertising, or send marketing email unless you opt in.

4. Who We Share It With

We share information only with service providers that run PayDeck360 for us, and only what each one needs:

• Google Firebase / Google Cloud - sign-in, database, server functions and nightly backups. Stores all of your account data.
• Anthropic (Claude AI) - reads the numbers on paystub images you upload. Under Anthropic's commercial terms, data sent through its API is not used to train its models by default.
• Stripe - processes web subscription payments.
• Apple - if you subscribe in the iPhone app, Apple processes the payment. If you sign in with Apple, Apple confirms your identity.
• Google - confirms your identity if you sign in with Google.
• EmailJS - delivers support messages you send from the app.
• Netlify - hosts the website.
• jsDelivr, cdnjs and Google Fonts - deliver code libraries and fonts to your browser.
• YouTube - plays the optional intro video if you choose to watch it.

We may also disclose information if the law requires it, or to protect the safety of users or the service.

5. Who Can See Your Data

• You, when signed in.
• The PayDeck360 owner has technical access to account data and uses it only to provide support, fix problems and check calculations. We do not edit your data.
• Anyone with your calendar feed link: if you create a calendar subscription link, anyone who has that link can see the schedule in it. Treat it like a password and share it only with people you trust.

6. Security

• Data is encrypted in transit (HTTPS) and at rest by Google Cloud.
• Database rules limit each account to its own data.
• Server functions require a verified sign-in.

7. Your Choices

• See and correct your data: everything you entered is visible and editable in the app.
• Get a copy: email us and we will send your data in a portable format.
• Delete your account: Menu > Delete Account. This removes your sign-in, your account data and your support tickets. It cannot be undone.
• AI features are optional: you can enter everything by hand instead.
• Email: service emails (such as password resets) are part of the service; we send nothing else unless you opt in.

8. How Long We Keep It

• While your account exists, we keep your data so the app works.
• When you delete your account, your data is removed from the live database right away. Copies in our encrypted backups are removed as those backups are replaced.
• Stripe and Apple keep billing records as the law requires.

9. Children

PayDeck360 is not for anyone under 18, and we do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

10. Cookies and Local Storage

We use the browser storage that sign-in needs to keep you logged in, and local storage to remember app preferences (such as the last tab you viewed). We do not use advertising cookies or tracking pixels.

11. Changes to This Policy

If we change this policy, we will post the new version here with a new effective date. For material changes we will also tell you in the app or by email before they take effect.
